Position Description

As part of the Ryder team, the Administrative Assistant-II position provides administrative support to department staff; may provide specific secretarial support including a full range of administrative duties.

Requirements

  • High School diploma or GED equivalent is required
  • Minimum of 3 (three) years prior advanced administrative experience
  • Intermediate level skills with MS Word such as including styles, mail merge, tabs, tables, columns and breaks, graphics, fields, headers and footers, working with margins, page orientation, and spelling/grammar
  • Intermediate level skills with MS Excel such as freezing/unfreezing panes, hiding/un-hiding data, setting print titles & page breaks, linking workbooks, creating external links, re-directing links, customizing toolbars & menus, protecting a worksheet, filtering options, and chart formatting options
  • Position requires good command of the English language

ADDITIONAL REQUIREMENTS:

  • Proficient customer service and phone etiquette skills
  • Candidate must have the ability to be detailed, proactive, and able to handle multiple tasks in a timely manner
  • Must have the ability to be a team player in assisting others
  • Successful candidate must be able to work with all levels in the organization and have an ability to work independently with little supervision
  • Candidate must also have demonstrated an ability to perform assigned tasks under own initiative and an ability to prioritize and organize
  • Prior knowledge of company procedures and policies is preferred
  • Ability to communicate clearly and accurately
  • Ability to show patience and courtesy when dealing with people
  • Ability to communicate effectively both orally and in writing

Responsibilities

Responsibilities include but are not limited to:

  • Setting up and typing reports, memos, presentations and correspondence often of a technical and/or confidential nature
  • Compose routine correspondence, sort and distributing daily mail, answer routine inquiries, take messages and directs callers to proper parties, and schedule appointments, meetings and keep manager's calendar
  • Makes travel arrangements, maintain filing system, assist in organizing and expediting flow of work through manager' s office
  • Acts as interface with internal and external customers
  • Resolves routine issues in absence of manager
  • Compiles, researches and tabulates data and may perform some analysis
  • Performs related duties as required
